Letter of Agreement

1.Obligation to inform

・If you have a history of major surgery (such as heart surgery), allergy, chronic illnesses (such as diabetes), seizures (such as epilepsy), a disability, or if you require medication such as tranquilizers, antidepressants, or insulin, please be sure to inform us in advance of the condition and the medications you are taking.

2．Obligation to prepare for trekking

–Please come prepared with the necessary equipment for mountain trekking (e.g., rainwear, hiking boots, warm clothing).

–If you are significantly lacking in essential gear on the day of the tour, we may have to decline your participation

3．Obligations During the Tour

–To ensure the safety of the tour, we kindly ask that you follow the guide’s instructions and decisions at all times.

–Please be aware that if a participant fails to comply with the guide’s directions and disrupts the tour, we may be forced to cancel the tour.

4．The following individuals may not participate in the tour:

-Those under the influence of drugs (including narcotics or similar substances) or alcohol.

-Those suffering from serious illnesses or injuries, such as severe colds, fever, fractures, or deep cuts.

-Those who cause trouble for other hikers or fail to show respect for nature and conservation efforts.

-Those who do not follow the guide’s instructions.

Please note: If any issues related to the above arise during the tour, the tour may be suspended or canceled for safety reasons.

5．In the following cases, we may advise the participant to withdraw from the tour.

・The guide determines that, due to fatigue or poor physical condition, a participant cannot descend safely

6．In Case of Withdrawal from the Tour

–In the event that a participant retires from the tour, they will be asked to wait at a location designated by the guide. However, if it is deemed unsafe to wait due to a medical emergency or severe weather conditions, the entire group may descend together.

-For the Jomon Sugi trekking tour, if descent is not completed in time to catch the final shuttle bus, a taxi will be used from the Arakawa Trailhead. Please note that the taxi fare in such cases will be at the participant’s own expense.

7．Guidelines for Determining Tour Cancellation

The tour may be canceled under the following conditions:

-If access to the mountain or the trailhead is blocked due to weather conditions or natural disasters.

-If the Japan Meteorological Agency issues warnings for heavy rain, flooding, strong winds, or lightning.

-If, regardless of the above, the guide determines that the safety of the participants cannot be ensured.

8．Refund Policy in the Event of Tour Cancellation

-A full refund will be issued if the tour is canceled due to any of the reasons listed in Section 7.

-No refund will be provided if the tour has already started from the trailhead and the guide decides to turn back due to worsening weather.

-No refund will be given if the tour is canceled due to personal reasons, such as poor physical condition or insufficient equipment.

9．Cancellation Fees Due to Customer Circumstances

If you are unable to come to Yakushima due to flight or ferry cancellations, no cancellation fee will be charged.
For all other cancellations, the following fees apply:

• More than 31 days before the tour: No charge
• 21 to 30 days before the tour: 30%
• 11 to 20 days before the tour: 50%
• 3 to 10 days before the tour: 70%
• 2 days before the tour or later: 100%
